Job Description:
Position Title: Full time Administrative Assistant
Work hours: Monday through Friday - 8:30 a.m. to 5:00 p.m.
Location: 152 Orvin Lance Drive, Blue Ridge, GA 30513
Administrative Assistant reports to the President.
Basic Function: The position of Administrative Assistant plays a crucial role in providing administrative support to the President and team, supporting all staff and functions of the Chamber as needed, including membership, office facilities, financial management, record keeping, events, and assistance to the President.
Facility, Tenants, and Visitor Center
Pick up mail at the post office and outside mailbox. Open and distribute the mail.
Schedule Chamber conference rooms and business center.
Back-up for answering the telephone.
Back-up for front desk staff, as needed.
Maintain an inventory of office merchandise and gifts.
Coordinate regular cleaning and maintenance of Chamber facilities.
Arrange for repairs when necessary.
Manage facility utilities – telephone, internet, power, water, etc.
Communicate with tenants, manage leases, and handle repairs when needed.
Purchase office supplies.
Coordinate seasonal decorating for Chamber facilities.
Keep office tidy – kitchen, storage, etc.
Accounts Payable, Receivable & Record-Keeping
Handle all accounts receivable checks. Enter in check register.
Make bank deposits 2-3 times/week.
Manage petty cash fund.
Manage all invoices and credit card receipts.
Maintain accurate and orderly financial records and files.
File invoices and check copies.
Assist with annual audit.
Staff Support
Provide staff support for Chamber committees, festivals, seminars, membership campaigns, and special meetings as needed by committees. Support may be compiling lists, printing name tags, set up, etc. On occasion, as needed, work after regular hours or on the weekends may be required.
Assist with proofing print or digital publications.
Assist with lunch orders for meetings for all staff, including pick up, as needed.
Provide administrative support for all part-time staff.
Assist in managing the community event schedule for staff.
Assisting the President: The Administrative will be asked to assist the President with committees, projects, events, preparation of reports, research, or other duties as necessary.
Administrative support for Leadership Fannin.
Take minutes for all board meetings.
Qualifications: The Administrative Assistant must have a high school diploma or equivalent, be proficient in Microsoft Office, have previous office experience and excellent telephone and people skills.
Bachelor’s degree is a plus.
Some accounting experience is a plus.
Proven experience in administrative roles.
Strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
A passion for Fannin County, an understanding of the Chamber, and an appreciation for Tourism.
